Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or at the time of vehicle collection. This document outlines important terms, conditions, insurance information, applicable charges, and your responsibilities during the rental period. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Vehicle Rental Requirements
- To rent a vehicle from Grays, you must be at least 21 years old, though age limits may differ based on the vehicle type. Drivers under 25 may incur extra fees. You must possess a valid driving licence suitable for the vehicle category, held for the duration specified in the Rental Agreement. Additionally, valid identification and proof of your current address are required, along with payment details and a security deposit. Any further requirements will be stated in the Rental Agreement.
Booking and Payment Process
- Reservations can be made via our website, over the phone, or directly at our Dartford office. A deposit might be needed to confirm your booking. The total payment and security deposit are generally payable upon vehicle pickup. All prices are listed in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, processed securely through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of collecting your vehicle, it is your responsibility to conduct a thorough inspection and report any pre-existing damage without delay. We will complete a vehicle condition report that both parties will sign. The vehicle must be returned in the same state as it was collected, aside from normal wear and tear. Any new damage will be evaluated and may result in additional charges. Please ensure the fuel level matches what was present at collection; refueling fees will apply if the tank is less full upon return. Late returns may lead to extra charges, so please communicate with us promptly if you foresee any delays. You will be liable for any parking fines, traffic violations, or other charges incurred during your rental period, along with an associated administration fee.
Insurance and Responsibility
- All rentals come with basic third-party insurance included. You will find complete coverage details and excess amounts outlined in the Rental Agreement. Additional insurance options may be offered to further limit your financial liability. It is advisable to review these options thoroughly. You are liable for any damage or loss up to the insurance excess amount, unless you opt for extra coverage. Any damage resulting from negligence, misuse, or violation of these Terms remains your responsibility, regardless of insurance status.
Cancellation and Modifications
Cancellation and amendment policies differ based on the type of booking and the notice provided. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows could incur additional charges.
7. Restricted Activities
Prohibited Uses of Your Vehicle
- The vehicle must not be used for any illegal activities. Engaging in racing, rallying, off-roading, or other risky maneuvers is prohibited. Transporting hazardous materials is strictly forbidden. Sub-letting the vehicle or permitting unauthorized drivers is not allowed. Driving under the influence of alcohol or drugs is unacceptable. The vehicle should only be used for its intended purpose, and passengers must not exceed specified limits. Driving beyond agreed geographical boundaries requires prior approval.
Breach of these terms may lead to rental cancellation and fees.
8. Liability Limitations
To the fullest extent allowed by English and Welsh law, Grays Car Hire will not be responsible for indirect, incidental, special, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our total liability for any claims will not exceed the rental amount you paid in the previous 12 months. This limitation does not affect our liability for death or personal injury due to negligence or for fraudulent activities.
Legal Framework
These Terms are governed by the laws of England and Wales. Disputes will be resolved exclusively in English and Welsh courts.

Grays reserves the right to amend these Terms as needed. Any updates take effect immediately upon being published on our website. Continued use of our services indicates your acceptance of the revised Terms.
