Rental Terms
All vehicle rentals come with a comprehensive Rental Agreement, which you will receive upon booking confirmation or when collecting your vehicle. This document outlines the specific terms, conditions, insurance coverage, fees, and your responsibilities related to the rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Rental Requirements at Grays
- To hire a vehicle from Grays, you must be at least 21 years old, though specific age restrictions may apply based on the vehicle type, including potential extra charges for drivers under 25. A full, valid driving license suitable for the vehicle category is required, held for the duration outlined in the Rental Agreement. Additionally, you must present valid identification, proof of your current address, payment information, and a security deposit. Any further requirements will be detailed in the Rental Agreement.
Booking and Payment Process
- Reservations can be made via our website, by telephone, or directly at our Dartford office. A deposit may be necessary to confirm your booking. The total payment, along with a security deposit, is generally required upon vehicle pickup. All pricing is listed in British Pounds (£) and includes VAT as applicable. We accept major credit and debit cards, securely processed through trusted payment providers.
Vehicle Pick-Up and Drop-Off
- At the time of vehicle collection, it is your responsibility to conduct a thorough inspection and report any pre-existing damage without delay. A vehicle condition report will be completed and signed by both parties. The vehicle must be returned in the same state as it was collected, accounting only for standard wear and tear. Any new damage identified will be evaluated, and charges may apply. Please ensure the vehicle is returned with the same fuel level as at the start of your rental; refueling fees will be incurred if the fuel level is lower. Late returns could result in extra charges, so please notify us as soon as possible if you anticipate returning the vehicle late. You will be responsible for any parking fines, traffic violations, or other charges that arise during your rental period, along with an applicable administration fee.
Insurance and Liability Terms
- All rentals include basic third-party insurance. Coverage specifics and excess amounts can be found in your Rental Agreement. Additional insurance options may be available to limit your financial liability; we encourage you to review them thoroughly. You remain liable for damage or loss up to the excess amount, unless additional insurance is obtained. Any damage resulting from negligence, misuse, or violation of these Terms will remain your responsibility, regardless of insurance coverage.
6. Modifications and Cancellations
Cancellation and amendment policies differ based on the type of booking and the notice period provided. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or failure to show up may incur additional charges.
Prohibited Activities
Prohibited Vehicle Uses
- The vehicle may not be used for any unlawful activities. Engaging in racing, rallying, off-roading, or similar risky actions is prohibited. Transporting hazardous materials is not allowed. Sub-letting the vehicle or permitting unauthorized drivers is against our policy. Operating the vehicle while impaired by alcohol or drugs is strictly forbidden. The vehicle should only be used for its intended purpose and within specified passenger and weight limits. Driving outside the designated geographical areas without prior approval is not permitted.
Breach of these terms may lead to rental cancellation and extra fees.
Liability Limitations
To the fullest extent allowed by English and Welsh law, Grays Car Hire will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our maximum liability for any claim is limited to the total amount you paid for the rental in the last 12 months. This limitation does not apply to liability for death or personal injury due to negligence or for fraudulent actions.
9. Applicable Law
These Terms are governed by the laws of England and Wales. Disputes will fall under the exclusive jurisdiction of English and Welsh courts.
10. Updates to Terms
Grays reserves the right to update these Terms at any time. Modifications take effect immediately upon posting on our website. Continued use of our services indicates acceptance of the revised Terms.
